Swim Meet 101

SWIM MEETS - GENERAL

  • Encourage your swimmer to eat before an AM swim meet.
  • As soon as you arrive at the pool, check in with your coaches so they know you are ready to swim.
  • All swimmers are encouraged to wear the team shirt, team uniform suit and caps. Swimsuits can be purchased from Swimville USA in Middletown.
  • Swimmers should be at the pool and be ready to warm up at the time given by the coaching staff.
  • Before leaving the meet, please check with your coaches to be sure your child is finished with their events.
  • Please clean up your area before you leave.

SWIM MEETS – WHAT TO BRING

*It is essential that you are eating the correct foods to swim at your optimal levels. Whole grains, lean protein, complex carbohydrates, and not sugary, sweets!

DRINKS Water. Sports drinks are best for recovery during a long meet
SNACKS Healthy snacks that give energy are the best (fruit, veggies, cheese, peanut butter, etc).
SEATING – SWIMMERS Bring extra towels! In addition to a swimmer robe or cover-up. We will have a designated team area (usually in a gym area) that can sometimes get chilly.
SEATING - SPECTATORS Some pools have bleacher seats but these fill up fast. bring a bag chair as a backup. You may sit with your swimmer(s) in the team area in which case, a chair is essential.
SWIM BAG ESSENTIALS Check your bag for a swim cap, goggles (bring an extra pair), several towels, sweatshirt/pants, and dry clothes for when it’s time to head to home. Write the swimmer's name on everything!
SHARPIE Bring a sharpie to write the event, heat, and lane assignment on your swimmer.

SWIM MEETS – WHAT TO DO

  • Be on time. Let someone know if there is a reason that you may be late.
  • Print your swimmer's first and last name on their left shoulder with a Sharpie marker (6U, 8U & 10U age groups). This helps the lineup volunteers, timers, and coaches identify each swimmer. See Illustration #1 for an example.
  • After checking the FINAL Heat Sheet, write your swimmer's event, heat, lane, and stroke assignments on their forearm. The lineup volunteer will be there to assist and verify the assignments. See Illustration #2 for an example.
  • Check all events and relays for your swimmer's name. Swimmers will occasionally swim up in individual and relay events.
  • 6U, 8U and 10U should sit with his/her age group under their sign. Please help the lineup volunteers keep track of your swimmer by notifying them if they are going to the restroom or walking away from the area for any reason. Parents, please coach your swimmer on the importance of staying with his/her age group in the team area.
  • Swimmers 12U and UP, are responsible for getting themselves to the lanes and being on time.
  • If your swimmer becomes ill or needs to leave in an emergency, please notify a coach. There may be time to get another swimmer to replace him/her.

VOLUNTEERS

We will have a parent volunteer coordinator at each meet. You will need to check-in with this person.

Age-group parents:

  • Please print out a copy of the heat sheet via email. For some meets, the final heat sheets are not printed until the morning of. The Orcas coaching staff will be given enough copies for all volunteers. It is a good idea to bring your own highlighter and sharpie as well.
  • Before the meet begins be sure to go through the heat sheet and highlight/circle any of the Tsunami swimmers in the age group you are assisting. Your role is to get these swimmers to the clerk of course on time.
  • Before the meet, check in with the kids and make sure you know they are all present and that they know who you are.
  • If you are new to swimming a couple of things to know:
    • 6U & 8U swim 25 yards (1 lap) for individual events, so you will need to bring them to start on the side of the pool opposite of the timers.
    • Relays will be a 200 (50 each).
    • Medley relay order: Back, Breast, Fly, free
    • IM order: Fly, back, breast, free

Timers:

  • Please be sure to arrive 30 min before the meet begins. Make sure you check in with the Parent volunteer coordinator. There will be a timers meeting on deck or in a designated location before the meet begins. You will be given your stop watch and instructions. Just be sure to listen when they announce for timers to report.

Stroke & Turn:

  • We must have 1 stroke and turn judge for every 10 swimmers on the team. 
  • Please be sure to arrive 30 min before the meet begins. Make sure you check in with the Parent volunteer coordinator. There will be an officials meeting on deck or in a designated location before the meet begins.
